The short answer: Property managers collect rent in different ways. Ours is simple, straightforward, and proven:
- Rent is due on the 1st and late on the 2nd.
- Tenants pay through an online portal, so there are no lost-check excuses.
- The first check-run of the month is on the 10th, and owner direct deposits go out on the 12th, with some flex for weekends and holidays.
- Two more check-runs, on the 20th and 30th, cover any straggler payments and miscellaneous payouts.
- For an added layer of reassurance, we are part of a national franchise. Our financials and accounts are reviewed and reconciled monthly by BackOffice, the accounting team of our franchisor, Real Property Management, Inc., which was named to the Inc. 500 list of fastest-growing companies four years in a row.
We regularly pay owners like you across Sarasota, Manatee, and Charlotte counties, from Palmetto, Bradenton, and Lakewood Ranch to Venice, North Port, and Port Charlotte.
Why owners ask where the money goes
Most owners never think about rent money until something goes wrong. In September 2026, the West Seattle Blog reported that dozens of landlords said a Seattle property management company had stopped sending their rent and then stopped answering. An owners’ group tallied more than $1 million it said was owed in rents, deposits, and reserves. No one had been charged with a crime when the story ran.
That company had a strong reputation and plenty of good reviews for years. Reviews tell you how a manager treats people. They do not tell you who is checking the books. What protects an owner is a money process that is explained up front, written down, and checked by someone outside the office every month.
How rent gets from your tenant to your bank account
This is the cycle we walk every owner through before they sign anything:
- Rent is due on the 1st. It is late on the 2nd. Tenants pay through a secure online portal or another approved method.
- Rent is deposited at a Florida bank. Every payment goes into an account at a Florida bank, and it must clear before any of it is paid out.
- Bills are recorded. Repair invoices come to our office, are scanned, and go to our BackOffice accountant, who records each one against the right property.
- Statements are processed three times a month. Rent and invoices received by the 7th post on or about the 12th. Those received by the 18th post on or about the 22nd. Anything after the 18th posts on or about the last day of the month. Weekends and holidays move the date to the next business day.
- You are paid once a month. Your net rent is direct deposited in the run after your tenant’s payment clears. When the tenant pays on time, that is usually around the 12th.
Our rule of thumb for owners: if you have not seen your deposit by the 15th, call us at 941-225-8183.
What comes out before you are paid
Your deposit is the rent collected minus the costs you agreed to in writing: the management fee for your plan, approved repairs, and whatever is needed to keep your $500 maintenance reserve funded. The reserve lets us pay for small repairs without calling you about every invoice. Repairs above that amount need your approval.
Every line shows on your monthly statement: rent received, fees, repair charges with the vendor invoices attached, and the net amount deposited. Statements post to your AppFolio owner portal, which you can open any time. Full-service owners also receive an annual Form 1099 for their tax preparer.

Who checks the books
We believe in third party oversight when it comes to financials. BackOffice Inc., the accounting team of our franchisor, Real Property Management, Inc., does the bookkeeping for our office under generally accepted accounting principles, the standard rules accountants follow.
Every month, our BackOffice accountant reconciles our bank statements against the canceled checks and the invoices, reviews the bank and credit card statements, questions any charge that needs explaining, and prepares the statement for every owner account. Money held for tenants, such as security deposits, is accounted for the same way.
“I’m not saying that doing it another way is inherently untrustworthy,” says John Michailidis, MSIRE, JD, our broker of record. “But if I’m an owner, I think it’s nice to know” that an outside, Inc. 500 level accounting team is keeping the books and reviewing financials every month.
Questions to ask any property manager about money
There is no single right way to run a money process, but there should be a clear one, and you should hear it before you sign. Misunderstandings about money usually mean the conversation never happened. Ask any manager you are considering:
- How does the rent come in, and where is it deposited?
- When does the money go out to me, and how?
- What comes out before I am paid?
- Who reviews your books and reconciles your bank accounts, and how often?
- What should I watch for, and when should I call you about a payment?

When full management is not the right fit
Full management means handing over the day-to-day work, money included. The owner receives statements, gets answers to questions, and makes the big decisions when a major event comes up. The manager handles everything else. An owner who is not ready to let go of the daily details will be frustrated with any property manager, including us.
If you would rather collect the rent yourself, our Leasing Only plan finds and screens the tenant and signs the lease, then you take over from there. If you share a rental with family members, see how we handle payments in renting an inherited house with siblings.
Frequently Asked Questions
When do property management owners get paid in Sarasota, Manatee, and Charlotte?
Owners whose homes are managed by Real Property Management of Sarasota & Manatee are paid once a month by direct deposit, in the processing run after the tenant’s rent clears. When rent is paid on time, the deposit usually arrives around the 12th of the month. If you have not received it by the 15th, call 941-225-8183.
What does a property manager deduct before paying the owner?
A property manager should deduct only the costs the owner agreed to in writing, such as the management fee, approved repairs, and any maintenance reserve. At Real Property Management of Sarasota & Manatee, every deduction appears on the monthly statement, and repair charges have the vendor invoice attached. The statement is available any time after posting in your owner portal.
Who checks a property manager's books?
Who checks a property manager’s books is one of the most important questions an owner can ask, because the answer varies widely. For Real Property Management of Sarasota & Manatee, BackOffice, the accounting team of our franchisor, keeps the books and reconciles our bank accounts every month. Owners receive itemized monthly statements with supporting invoices.
Can I get a paper check instead of direct deposit?
Yes. As a general rule, Real Property Management of Sarasota & Manatee pays owners monthly by ACH direct deposit, because it is the fastest, most secure way to ensure timely rent disbursements. In select circumstances, accommodations can be made for paper checks to be mailed.
Can I collect the rent myself and still use a property manager?
Owners in Sarasota, Manatee, and Charlotte who want to collect rent themselves can use the Leasing Only plan from Real Property Management of Sarasota & Manatee. We find, screen, and sign the tenant, and the owner manages from there. With full-service management, we collect the rent and handle the day-to-day work, and you receive statements and deposits.
Real Property Management of Sarasota & Manatee has served rental owners in Sarasota, Manatee, and Charlotte since April 2012 and holds an A+ BBB rating.
